1. Acceptance of Terms

These Terms of Service ("Terms") govern your access to and use of the website techpilotsolutions.co.uk (the "Site") and any services offered by TechPilot Solutions Ltd ("TechPilot Solutions", "we", "us", or "our"), a company registered in England and Wales under company number 17008569, with its registered office at 9 Dovecote Cottages, Church End Road, Shenley Brook End, Milton Keynes, MK5 7AA.

By accessing the Site, submitting a form, or otherwise using our services, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, please do not use the Site or our services.

2. Who Can Use Our Services

Our services are intended for business use. By using the Site, you confirm that you are at least 18 years old and, where you are submitting an enquiry on behalf of a business, that you have the authority to do so and to provide us with the information you submit.

3. Description of Our Services

TechPilot Solutions designs and builds AI-powered automation, including workflow automation, AI chatbots, voice assistants, and custom software solutions for businesses (the "Services"). Information about our Services on the Site is provided for general informational purposes and does not constitute a binding offer. Any specific engagement, scope of work, deliverables, and pricing for our Services will be agreed separately in writing (for example, in a proposal, statement of work, or service agreement), which will take precedence over these Terms for that engagement.

4. Using the Site & Forms

When using our contact form or chat widget, you agree that you will:

  • Provide accurate, current, and complete information.
  • Not submit spam, unsolicited advertising, or content on behalf of a business unrelated to a genuine enquiry.
  • Not attempt to disrupt, overload, or interfere with the Site, our forms, or any third-party service we rely on (including by bypassing rate limits or client-side validation).
  • Not use the Site to submit unlawful, defamatory, abusive, or fraudulent content.

We reserve the right to refuse, ignore, or remove any submission we reasonably believe is spam, fraudulent, or in breach of these Terms, and to rate-limit or block access from any source we believe is misusing the Site.

5. AI Chat Assistant

Our Site includes a live chat widget that can answer questions automatically using artificial intelligence. Responses from the chat widget are generated automatically and are provided for general informational purposes only. They:

  • May occasionally be inaccurate, incomplete, or out of date.
  • Do not constitute professional, legal, financial, or technical advice.
  • Do not form a binding offer or contractual commitment on our behalf.

You should not rely solely on automated responses for decisions of material importance. A member of our team will follow up directly on any enquiry you submit.

6. Fees, Payment & Billing

Submitting our contact form is free and does not obligate you to purchase any Services. Any fees for our Services will only apply once you have agreed to a specific proposal, quote, or service agreement with us, which will set out pricing, payment terms, and scope in detail.

Prices shown on the Site are starting prices for our standard packages. They exclude VAT and are not a binding offer. The final scope and price of your project are confirmed in your written proposal or service agreement.

How you can pay

  • Setup paid upfront — a one-off setup fee to build your system, followed by a monthly fee covering hosting, monitoring, support, and improvements. This option has a minimum term of 3 months for our Starter and Growth packages and 6 months for our Scale package, unless your agreement states otherwise.
  • 12-month plan — a smaller setup fee and a higher monthly fee, in exchange for a commitment of 12 months.
  • Annual prepayment — if you choose the setup-paid-upfront option, you can pay your first 12 months of monthly fees in advance and be charged for 10. This applies to monthly fees only, not the setup fee, and cannot be combined with the 12-month plan. It covers the prepaid year only; at renewal you can prepay again or move to monthly billing at the rate that applies at that time.

Billing terms

  • Fees are payable as set out in your proposal or service agreement.
  • All prices exclude VAT, which will be added where applicable.
  • Each package includes usage limits (such as the number of conversations handled each month and the number of integrations), which are set out in your agreement. Usage above these limits is charged at the rates stated in your agreement.
  • Our prices are reviewed each year, and your monthly fee will increase once a year. We will tell you the new amount in writing at least 30 days before it takes effect.
  • You may cancel by giving written notice in line with your agreement. If you cancel before the end of your minimum term or 12-month plan, the fees for the remainder of that term remain payable. Prepaid monthly fees are not refunded if you cancel part-way through a prepaid year.

If anything in your proposal or service agreement differs from this section, your agreement takes precedence.

7. Intellectual Property

Unless otherwise stated, all content on the Site — including text, graphics, logos, and software — is owned by or licensed to TechPilot Solutions Ltd and is protected by copyright and other intellectual property laws. You may view and print content from the Site for your own personal or internal business use, but you may not reproduce, distribute, modify, or create derivative works from any part of the Site without our prior written consent.

Intellectual property in any deliverables created as part of a paid engagement will be addressed separately in the relevant service agreement.

9. Disclaimers

The Site and its content are provided "as is" and "as available" without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement, to the fullest extent permitted by law. We do not warrant that the Site will be uninterrupted, error-free, or free of harmful components.

10. Limitation of Liability

To the fullest extent permitted by law, TechPilot Solutions Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or business opportunity, arising out of or in connection with your use of the Site. Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded or limited under English law.

11. Indemnity

You agree to indemnify and hold TechPilot Solutions Ltd harmless from any claims, losses, liabilities, and expenses (including reasonable legal fees) arising from your misuse of the Site or breach of these Terms.

12. Suspension & Termination

We may suspend or restrict your access to the Site or any of its features (including our forms or chat widget) at any time, without notice, if we reasonably believe you have breached these Terms or are misusing the Site.

13. Governing Law & Jurisdiction

These Terms are governed by the laws of England and Wales. Any dispute arising out of or in connection with these Terms or your use of the Site shall be subject to the exclusive jurisdiction of the courts of England and Wales.

14. Changes to These Terms

We may update these Terms from time to time to reflect changes in our Services or legal requirements. Any changes will be posted on this page with an updated "Last updated" date. Continued use of the Site after changes are posted constitutes acceptance of the updated Terms.
